Refund Policy

2018 Information - Trojan® Registration Scholarships

We are excited to announce Trojan® will be generously sponsoring five participants to attend the 40th Annual Guelph Sexuality Conference. This sponsorship will cover registration fees for the main conference on Thursday, June 14 and Friday, June 15. To apply send a letter of application to by Friday, May 18. Submissions are limited to one page in length (max 250 words) and must outline your financial need in addition to the impact of knowledge to be gained from the workshops you plan to attend.

2018 INFORMATION - Community Workshop Registration Scholarships

The College of Social and Applied Human Sciences is pleased to be sponsoring five participant registrations to the Community Workshop: Pleasure is for Every Body: An Exploration of Sex and Disability. 

To apply send a letter of application to by Friday, May 25. submission are limited to one page in length (max 250 words) and will outline your community involvement, financial need, and the impact this workshop will have on your current work or future plans.

2018 Information - On-Campus Accommodation at the University of Guelph

The University of Guelph boasts one of the largest university residence systems in Canada. Delegates will stay in one of six residence buildings, each offering its own charm and conveniences. Our accommodations provide delegates with a clean and comfortable living environment offering privacy while fostering social interaction. A variety of single or shared room styles are available. All rooms, except for the student rooms, receive daily maid service. Parking in designated lots is included FREE with the accommodation rate. To serve you better, we provide a 24-hour residence desk, located in Lambton Hall. This location provides delegates with around the clock information and services. All conference delegates will check in at a designated location; alternative location provided at extra cost

There are a variety of different room types including traditional Dormitory single and shared rooms as well as out East Village Townhouse. Pricing begins at $48.00 per night.

Driving Directions from 401 East or West

Exit#299 (Hwy. 6 Hamilton) travel North (Brock Road North).

Brock Road changes to Gordon Street once you enter the City of Guelph (approx. 16 km).

Follow Gordon Street to Stone Road and travel one block north of this intersection to locate the main entrance to the University of Guelph.

The Guelph Sexuality Conference and the STI Clinical Update are being held at Rozanski Hall. The STI Clinical Update lunch will be held in Peter Clark Hall, University Centre.

Parking on Campus

Parking passes will be available for purchase during the registration process. This will ensure you have a parking pass on display when you arrive on campus.

Daily parking passes are available on-campus at the parking kiosk in P31 on South Ring Rd, cash only.

For further details, review your confirmation e-mail you received when you registered. If you are staying in the University residence, parking is included. Parking is free on weekends and in the evening.

Airport Transfer to Guelph

If you are arriving by air at Pearson International Airport, transfer service is available.

Red Car Airport Service offers a shuttle service from Pearson International Airport, Hamilton International Airport (Munroe) and Waterloo International Airport to all Guelph Hotels. Pre-book your reservation online at or by phone 519-824-9344

The Red Car Service is also available from Toronto Island Airport (Billy Bishop), Union Station in Toronto and Buffalo International Airport at regular published rates.

When you arrive on Campus

The Conference registration desk is located in the foyer of Rozanski Hall.

When you arrive, please check in at the registration desk for your registration package. Registration will be open one (1) hour prior to the start of the conference.

Wheelchair accessibility

All conference rooms are accessible by wheelchair. Please identify yourself to conference staff for assistance in locating wheelchair accessible entrances and washrooms. Contact us in advance of your arrival if you have any concerns

2018 Information - Cancellation and Refund Policy

Please find below our cancellation policy.

  • Registration is not confirmed unless accompanied by the appropriate fee. Fees must be received in full by the early bird date of May 21, 2018 to be eligible for the preferred rate.
  • Student rates apply to full-time university and college students only. Proof of student status must be sent with your registration to receive student fees.
  • To withdraw from the conference, submit written notification of withdrawal to Open Learning and Educational Support
    • By May 21, 2018. A full refund, less a $40 administrative fee, will then be issued.
    • By June 01, 2018. A full refund, less a $100 administrative fee, will then be issued.
    • After June 01, 2018 at 4:00 pm.  No refunds are available. However you may transfer your registration fee to another delegate with written notification to Open Learning and Educational Support.
  • Those who register but do not attend will not receive a refund.
  • We reserve the right to substitute speakers or cancel sessions if necessary

Frequently Asked Questions


What is the registration deadline for the Conference?

To be eligible for the early bird rate, registrations and payment must be received by May 21, 2017. Online registration is accepted up to the day before the conference. However, early registration is encouraged to guarantee admittance as some workshops and sessions may have limited space.

We will accept online registrations until June 20, 2017. After this date you are welcome to register in person at the registration table in Rozanski Hall.

What is the refund policy?

Guelph Sexuality Conference and STI Clinical Update: Our full refund policy is available above under Cancellation and Refund Policy. Failure to attend does not constitute notification of withdrawal and will result in forfeiture of the entire course fee.

What is meant by “Student Rate”?

Student rates have been established for full-time university and community college students. A student identification number is required when registering.

I would like to obtain a Letter of Attendance

We are able to provide you a Letter of Attendance provided we verify your attendance on the day of the conference. When you arrive at Rozanski Hall let the registration clerk know that you will require a Letter of Attendance. At the end of the day your letter can be picked up at the registration desk.

I would like to volunteer at the conference

The Guelph Sexuality Conference encourages and involves students in three ways:

  1. By offering student rates for conference registration.
  2. Hosting a student networking event.
  3. By providing a volunteer program for the Conference that allows students who complete approximately 8 hours of volunteer work to attend the conference workshops at no cost. (All volunteers will assist at specific conference workshops as well as providing administrative support, working at the registration desk, or assisting with other conference operations).

To participate in the volunteer program….

Complete the Application for Student Volunteers, indicating your first, second and third choices of the workshop sessions that you wish to assist with.
Complete 8 hours of assigned and scheduled volunteer work at or prior to the conference.

I have a great idea for next year’s Conference. How do I submit my idea for consideration?

A call for proposals is sent out each Fall.

What about accommodations during the conference?

You are responsible for making your own arrangements during your stay in Guelph. Accommodation is available on campus or at the conference hotel. See above for up to date information on this year’s conference.
